Before starting your Know Your Business (KYB) application, it's a good idea to have all your documents ready. Make sure they are current, easy to read, and consistent with the information you will provide in your application.
What documents do I need to provide?
You will need documents covering the following nine categories:
1. Certificate of incorporation: Confirms that your company is legally registered. It should clearly show key details such as the company name and registration number.
2. Memorandum and articles of association: Sets out your company's structure, purpose, and governance rules.
3. Current register of shareholders: Shows your company's current shareholders and their shareholdings.
4. Current register of directors: Shows your company's current directors.
5. List of ultimate beneficial owners (UBOs): Identifies individuals who own 25% or more of the company. The ownership details should match the information in your application and other company records.
6. Passport or identity card of the legal or authorized representative: A valid identification document for the person authorized to represent or act on behalf of the company.
7. Proof of residence: Confirms the residential address of the person named in your application.
8. Company organizational chart: Shows your company's ownership structure and the relationships between shareholders and UBOs.
9. Proof of operating status: Confirms that your company is currently active.
Documents are required for all nine categories. If a category doesn't apply to your company or you can't provide one of the required documents, contact customer support before submitting your application.
We may request additional information or documents during the review if needed.
How should I prepare my documents?
Before uploading your files, check that they meet these requirements:
-
File format: PDF, JPG, JPEG, or PNG
-
File size: Up to 10 MB per file
-
Files per category: One to five
-
Document quality: Clear, complete, and easy to read
-
Information: Company names, registration numbers, personal details, and shareholding percentages must be consistent with your application
Company records should be up to date, and identification documents must still be valid. For any document-specific validity requirements, check the KYB verification page before uploading your files.
What if my company has changed its name?
If your company documents show different names because of a name change, provide a certificate of change of name or an equivalent document issued by the relevant authority.
The document should show the previous company name, the new company name, and the date the change took effect. If some of your documents still show the previous name, we may ask for additional documents to confirm that they belong to the same company.
What can I use as proof of address?
Depending on the requirements shown for your application, acceptable proof of address may include:
-
Utility bills, such as water, electricity, gas, internet, or landline bills
-
Bank statements
-
Proof of residence or address issued by a government authority
-
Tax returns, council tax bills, or tax invoices
Your document should clearly show the relevant name, address, and issue date.
Accepted document types and validity periods may vary, so check the KYB verification page for the requirements that apply to your application.
Which business address should I provide?
Use the address where your company actually operates. If your company operates from its registered address, you can use the same address for both.
If your registered address is used only for company registration, such as an address provided by a registered agent, company secretary, or service provider, provide your actual operating address instead.
For a business based in a shared workspace, use the address of the workspace where your company operates. If you run the business from home, use the residential address where you conduct your business activities.
In either case, you may be asked to provide supporting documents showing that your company operates from that address.
